3 Simple (Yet Highly Effective) Tips to Improve Healthcare Practice Staff Satisfaction

Employee satisfaction flourishes when individuals can focus on rewarding aspects of their job. In healthcare practices, this often means minimizing tedious tasks such as manual data entry and repetitive workflows. By increasing efficiency and automation, practices can free up staff time for what truly matters – building meaningful, long-lasting relationships with patients.

In this article, we’ve outlined three key areas that improve efficiency, leading to smoother processes and happier staff.

1. Paper

If your practice has eliminated the need for printing and mailing paper statements, skip to #2. If not, reducing paper is our #1 area for improving efficiency and eliminating time-consuming work.

  • First, enable patients to pay online. A link to “Pay My Bill” will reduce the need to pack envelopes and peel stamps.
  • Be proactive in marketing your practice’s ability to collect payments digitally. Place a payment QR code at the front-desk and include it on social media channels and emails.
  • Set up automated text messaging to reach out to one, or hundreds, of patients who have outstanding balances. With a simple tap on a link, patients can submit their payment. Not sure it will make a big impact? Check out this case study on sending text messages to capture patient payments.
  • Keep a patient’s card on file. Many are accustomed to this type of payment processing through their monthly subscriptions to Netflix, Amazon, Grub Hub, etc. Patients are also consumers, and they prefer the digital experiences they’ve come to know. Keeping a card on file gives your team the ability to charge pre-authorized amounts to the preferred method of payment.

2. Scheduling

  • Phone calls, follow-ups, scheduling, re-scheduling, waitlist management, OH MY! On average, 1 in 4 patients cancel an upcoming appointment. Whether you receive a cancellation call, or begin your follow-up on a no-show, it takes time to backfill the appointment. Having a set of “digital helping hands” can make a difference in creating a profitable practice.
  • What do we mean by the “digital helping hands?” Like online payments, online scheduling reduces time spent on the phone looking through available time slots on calendars to fit in a patient appointment. Consumers are accustomed to scheduling meetings, dinner reservations, and flights online, why not give them the same experience at your practice?
  • From scheduling to re-scheduling, and even managing waitlists, having a tool that automates these processes can free up your team. Moreover, as your staff head home for the evening, your practice always has the opportunity to gain a new appointment or fill a vacant spot.

3. Compliance

  • Compliance is critical for any healthcare practice, and it often consumes valuable time and resources. Maintaining adherence to HIPAA, OSHA, and other regulations can be complex and time-consuming.
  • Maintaining staff member training, business associate agreements, policy updates and critical compliance is a large administrative responsibility. Leverage a platform to manage all compliance requirements in one place, with automated tools for staff training that ensure all employees are up to date on the latest regulations.
  • Additionally, reducing paper-based processes, binders, and the maintenance of records can ensure access to ongoing adherence to regulatory requirements.
